Communications Systems

Greenville Technical College (GTC) has a variety of methods that employees have at their disposal to communicate with other employees and the public. This section outlines these methods. 

Telephone

For an instructor to obtain a GTC telephone extension, the request must be initiated by his or her department.   

Open an OIT Help ticket using the OIT Help icon located on any GTC desktop, request a new telephone or extension, and include the email approval chain from your academic program director, department head/chair, or academic dean in the ticket. OIT staff will email the department with the assigned telephone number and instructions on using the college's telephone and voice mailbox features. 
When calling or faxing on campus, use the four-digit extension. When placing a local call or fax, dial nine before the full telephone number, e.g., 9-555-2222. 

Note: Directory Assistance 411 calls are blocked by the College's communication system. All callers must dial 1-800-373-3411. 

Voicemail - Voicemail can be accessed from any phone on campus by dialing Ext. 4960. If accessing a voice mailbox from an outside line, dial (864) 255-4960. 
Voicemail Guidelines (Extracted from Administrative Policies: 5-21 Communications) Voicemail messages should be professional and brief, providing essential information. The following are examples of suggested voicemail messages: 
In-Office Message: You have reached the voicemail for Jane Doe. Please leave a detailed message, and I will return your call as soon as I am available.
Out-of-Office Message: You have reached the voicemail for Jane Doe. I will be out of the office, returning (date). I will check messages (regularly or daily). Please leave a message or call (name of contact) for assistance.

Long Distance Access - Faculty, both full-time and adjunct, may make college-related long-distance telephone calls. Instructions for accessing long distance are as follows:

Within the 864 area code: Dial nine, plus the area code and telephone number, e.g., 9-864-555-2222.

Outside the 864 area code: Dial nine, then one, plus the area code and telephone number, e.g., 9-1-304-555-2222.

Outside the US: Open an OIT Help ticket and request access to dial long distance outside the continental US. Include a brief justification and the time frame needed to access international dialing.

Computers

Computer Access for GTC’s network (Outlook email, GTC4me, Blackboard, and other applications with single sign-on) - It is the supervisor's responsibility to initiate the online request for any faculty member needing network access. The computer access form can be found on Resources4me under Employee Resources>Employment>Forms & Procedures. After access has been established and activated, a notification email, including a temporary password and instructions, is sent to the supervisor and copied to the instructor. Contact OIT Help for any technology questions by dialing (864) 255-4357 (255-HELP) or by clicking the OIT Help icon installed on all employee GTC desktop computers.

Employees may access their email accounts off campus by logging in to MyApps through GTC4me and clicking the tile labeled Outlook Webmail, found under Quick Links. You may also go directly to Webmail using this link: https://outlook.office.com/. Log in with your network username and password.

To enhance security, all network and ERP (enterprise resource planning) passwords must follow specific formatting requirements and be changed every 45 days. Employees with smart devices such as tablets, smartphones, etc., who are accessing Outlook must make all password changes across all devices within 15 minutes. Detailed information regarding resetting/changing passwords can be found on Resources4me under the Office of Information Technology. GTC4me Portal - The GTC4me portal is a means of communicating college-wide information. GTC establishes GTC4me as the default home page for Windows Internet Explorer on all college computers and laptops. GTC4me may also be accessed off-campus using the following URL address: https://myapps.microsoft.com/. Make a habit of reading the postings every day.
